Description
Trinity School, a coeducational, K-12 institution located on the Upper West Side of Manhattan, seeks an Assistant to the Chaplains and the Director of Public Service, beginning August 2016.
 
The Assistant will work closely with the Chaplains and the Director of Public Service to implement the Public Service and Chapel programs.  The assistant will provide essential administrative and programmatic support for curricular and extracurricular initiatives that originate in both of these offices.

Tasks include (but are not limited to):
 
Management
 
  • Help coordinate the Upper School Service and Chapel Councils, and work with their faculty advisors.  Help manage student initiated community service groups.  Work with the Service Director to create and manage systems of accountability and oversight for service groups.  Work with the Director to run several required meetings per year with service group leaders.  Work with Chaplains and Chapel Councils to communicate with all those who speak and work in chapel each year.
  • Manage budgets for community service groups and for the chapel program. Work with the Director of Service to create guidelines for fundraising and management of funds.
  • Act as centralized administrative point person for the Public Service and Chapel programs, K-12.  All student initiated service activities must go through the assistant. 
  • Keep centralized records of what is happening, where it is happening, and who is involved and
        responsible.
  • Format and help in drafting and sending communications from the Chapel and Public Service
        Offices to the Trinity School Community.
 
Support for the Director of Service and for the Chaplains
 
  • Provide administrative assistance with the Chaplains’ and the Director’s scheduling, organizing, and programming.
  • Help with administrative set up for Divisional Chapels, 4 All School Chapels, the Baccalaureate and 9th Grade Matriculation Service.
  • Order all supplies for the Service and Chaplains’ offices.
  • Administrate Space use for the Johnson Chapel.
  • Process all requests for space use by the Chaplains’ Office surrounding Divisional Chapels.
  • Maintain the Chapel and Service Program’s pages on Trinity School’s Web Site.
 
Meeting
 
  • Attend weekly service team meetings with Director and coordinators from MS and LS.
  • Attend weekly chapel team meetings with Chaplains and coordinators from MS and US.
  • Attend 4 or 5 yearly Lower School Chapel Committee meetings.
 
Programming
 
  • Provide programmatic help with service initiatives across divisions.  This includes helping with the Middle School service program and all school efforts like Thanksgiving, bingo, and the pinwheel project.
  • Help establish and maintain chapel schedules in LS, MS, and US.
  • Provide programmatic and conceptual help with service and chapel councils (US and MS).
  • Provide programmatic and conceptual help with lunch and learn "Changemakers" series. 
  • Attend at least one professional development opportunity per year. 
 
Student and Faculty Support
 
  • Chaperone students to the National Service Learning Conference in 2017.  http://servicelearningconference.org/2016/ 
  • Attend the NYSAIS service meetings.  Help with note taking, gathering information, and organizing research.
  • Provide assistance in scheduling and organizing Trinity faculty working group meetings.  Attend and take notes at Trinity faculty working group meetings.  Provide minutes and help to communicate with faculty about service work at Trinity. 
  • Provide administrative assistance with curricular and extracurricular service work across divisions.
 
Physical Requirements and Work Environment
 
  • Works in a highly stressful environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts.
  • May work at a desk and computer for extended periods of time.
  • Be able to occasionally lift up to 30 pounds.
  • Will work in a wide variety of environments, including a traditional climate controlled office
environment.
