Trinity School, a co-educational, K-12 institution located on the Upper West Side of Manhattan, seeks an Administrative Assistant in the Nurses’ Office starting September 1, 2025.
The Trinity Nurses’ Office Administrative Assistant is a 20-hour per week part-time position. This is a 42 week academic year position. The person in this position assists the Nurses in gathering, managing, and completing various student health documents, reports and data and also communicates with Trinity parents and business/medical staff outside Trinity regarding clerical requirements. The Administrative Assistant reports to the Head Nurse.
Qualifications:
- Ability to maintain absolute confidentiality and discretion regarding students’ health and medical information;
- Knowledge of/experience in managing computer systems, preferably electronic health record and data systems;
- Ability to work in a dynamic atmosphere where there are various situational changes throughout the day;
- Proficient interpersonal and organizational skills;
- Willing to work with independence and flexibility; and
- First Aid and CPR certification (Trinity can provide training)
Nurses’ Office Responsibilities:
- Ensure timely submission of student health information: physical exam forms, immunization forms, allergy and asthma action forms, athletic interval forms and parent online information and others where needed;
- Review all submitted health forms and flag important medical information for the nurses;
- Contact parents, guardians, and medical personnel to gather required medical information for record completion;
- Enter and update immunization data as well as other information into student electronic health records (Magnus);
- Create appropriate groups, trackers, and e-mail reminders in the student health record system (Magnus);
- Create reports from the student health record system, such as medical alerts, immunization compliance, etc.; and
- Assist with maintenance and inventory of medical and stationary supplies and medications.

Starting Salary Range: $23,000 - $28,000 (salary based upon, but not limited to, relevant experience and expertise)
