Description

Trinity School, a co-educational, K-12 institution located on the Upper West Side of Manhattan, seeks a full-time Interim Admissions Coordinator, Grades 5-12, beginning as soon as possible.

The Interim Admissions Coordinator for Grades 5-12 serves as the operational backbone of the Middle and Upper School admissions process. Reporting to the Director of Admissions, Grades 5-12, the Coordinator manages the complex logistics of recruitment, evaluation, and enrollment. This role requires a high level of technical proficiency, exceptional organizational skills, and a warm, professional demeanor to ensure a seamless experience for prospective families and a successful matriculation of a talented and diverse student body.

Primary Responsibilities:

Systems and Data Management (Finalsite)

  • Serve as the primary administrator for the Finalsite enrollment portal, ensuring data integrity across the Grades 5-12 applicant pool, including maintenance build-out, rollover, applicant checklists, communications, logistics, status, and events.
  • Proactively manage the year-to-year system rollover, including data clean up, updating application requirements, and refreshing checklist items to ensure readiness for the new cycle.
  • Build and maintain automated communications and forms, such as decision letters, welcome packets, and feedback forms for group events.
  • Run data searches and lists and produce regular reports on applicant status, file completion, and admissions statistics to support the Director’s decision-making.
  • Manage the enrollment portal for newly admitted families, tracking contracts and facilitating a smooth transition from applicant to student.
  • Coordinate Finalsite management with the Admissions Coordinator, Grades K-4.

Events and Logistics Coordination

  • Coordinate all logistical details for Grades 5-12 admissions events (Open Houses, tours, and group conversations) including room bookings, security coordination, AV requirements, facility set-ups, and catering.
  • Manage guest hospitality, including name tag production, check-in procedures, and "day-of" event support.
  • Partner with the Lower School admissions team, security, and facilities to ensure all campus-wide admissions events are synchronized and professionally executed.

Communications and Calendar Oversight

  • Act as the primary point of contact for the Grades 5-12 Admissions Office via email and phone. Manage the departmental inbox with warmth and clarity, responding to prospective family inquiries and escalating sensitive matters to the Director.
  • Manage the Grades 5-12 admissions calendar including scheduling interviews, campus tours, and committee meetings. Coordinate annual planning for admissions dates and events.                                                                                                                                                   
  • Maintain real-time updates on applicant statuses in the admissions database and ensure all candidate files are complete for committee review.
  • Keep security, the Head of School Office, and the Development Office updated on visitor details and tour schedules to ensure smooth campus visits.
  • Organize the Grades 5-12 Admissions team meetings at the Director’s discretion.

Office and Project Coordination

  • Coordinate the production of admissions materials, including the annual "Look Book," website text, and the student/family directory for the Advancement office.
  • Order office supplies, maintain interview common spaces to ensure a welcoming environment, and handle the procurement of admissions gifts and equipment.
  • Coordinate team-building events and provide administrative support for the Grades 5-12 admissions team.

Applicant Facing Responsibilities

  • Coordinate and oversee the administration of applicant testing and admissions assessments.
  • Serve as a trained secondary lead to conduct campus tours and family interviews, when needed.
  • Represent the school at admissions fairs and community recruitment events to engage prospective applicants and families as needed.

  • Highly professional work ethic, communication, and performance.
  • Proficiency with technology and software applications, including Microsoft Office and Google Suite.

Salary Range: $70,000 - $75,000 (salary based upon, but not limited to, relevant experience and expertise; salary to be pro-rated based on start date)
